Who We're Looking For

Becks Nielson Real Estate is seeking a highly organized, detail-oriented, and customer-focused Real Estate Operations & Showings Specialist to join our team. In this role, you will be the backbone of our operational success, helping to showcase our properties in their best light while managing the complex processes that ensure smooth transactions for our clients.

Responsibilities

Marketing & Client Relations

  • Create and maintain a pipeline of prospects identified from various lead sources
  • Design and assemble professional information packets, cards, and personalized gifts for inquiries, current and future buyers/sellers
  • Personally deliver promotional items and information to leads and customers, creating memorable touch points throughout the client journey

Property Presentation & Open Houses

  • Coordinate and execute exceptional open houses that create memorable experiences for potential buyers
  • Prepare and stage homes for maximum appeal, working with the team to highlight each property's unique features
  • Manage property preparation timeline from listing agreement to market-ready status
  • Create welcoming atmospheres at properties through thoughtful staging and presentation

Vendor Management & Coordination

  • Establish and maintain relationships with service providers including photographers, stagers, cleaners, sign installers, and repair professionals
  • Schedule and coordinate property services ensuring quality control and timeline adherence
  • Be present for vendor appointments when needed to provide access and oversight
  • Curate a network of reliable service providers to maintain high standards across all listings

Real Estate Process Operations

  • Effectively manage administrative tasks involved in real estate transactions across all participants
  • Track and communicate timelines and deadlines to all relevant parties
  • Send reminders and manage the logistics of the real estate process for multiple clients
  • Work with the transaction coordinator to ensure accurate and compliant files for all listings

Contract Logistics

  • Verify paperwork including contract reviews to understand and summarize important terms, conditions, and commissions
  • Ensure all documentation is properly executed and filed
  • Maintain organized digital and physical files for all transactions

Listing Operations

  • Communicate with agent & client throughout the home listing process
  • Coordinate key dates, showings, & open houses
  • Serve as the first point of contact for all questions throughout the listing process

Systems and Database Operations

  • Become proficient with key systems to track inquiries, leads, and customers, including CRM
  • Maintain accurate records of leads, contacts, buyers, and sellers
  • Generate reports and insights from database information

Business Operations

  • Analyze and create weekly tracking reports
  • Support principal realtor with task management and calendar assistance
  • Identify opportunities for process improvement and business growth

Qualifications

  • High work ethic and exceptional attention to detail (nothing slips through the cracks on your watch)
  • Strong organizational abilities with capacity to manage multiple properties and deadlines simultaneously
  • Experience with real estate is desired but not mandatory
  • Excellent communication and interpersonal skills, both written and verbal
  • Take-charge mindset with ability to work independently
  • Creative eye for property staging and presentation
  • Residence near the South Salt Lake Valley with reliable transportation
  • Availability for weekend open houses and occasional evening appointments
  • Professional appearance and demeanor when representing our properties

Additional Information

  • Expect weekly hours between 10 - 20 hours, but will vary depending on the workload
  • This will be a 1099 contractor role
