Kent Construction is seeking a proactive, detail-oriented Project Coordinator to help keep projects on track and well-organized through every phase of construction. This role will support the Project Management construction data entry and documentation, coordination with trade partners, support of project process, and ensuring communication across trade partners and clients. The ideal candidate will be organized, adaptable, and capable of balancing accuracy with field coordination demands. 

Project Coordination & Documentation: 

• Collect and organize required permits, approvals, and project documentation. 
• Manage construction documents using JobSite Codes software. 
• Create laminated QR codes for jobsites and upload relevant project files. 
• Coordinate and track vendor insurance, lien waivers, W-9s, and trade agreements. 
• Manage set-up of new trade partners in Buildertrend, including licensing. 
• Maintain accurate records for subcontractor close-outs and approvals of final payments. 
• Track and collect subcontractor invoices, confirm with project schedule and deliveries. 
• Support each jobsite team with daily updates, scheduling, and material tracking.
• Daily updates of Buildertrend for every project.
• Collect pricing for changes and selections.

 Communication & Client Coordination: 

• Primary contact for HOAs: manage gate access, parking and communication of rules. 
• Project meetings assistance: schedule meetings, share documentation, send agendas, create notes, assignments and actions items with clients and trade partners.
• Manage clients, architects, and designers to reach decisions schedule milestones. 
• Facilitate Builder’s Risk insurance setup with provider, homeowner, and accounting. 

• Understanding construction methods, materials and regulations. 
• Strong organizational, communication, and customer service skills. 
• Experience in Microsoft Excel, Word, and Adobe. 
• Familiarity with construction software. (e.g., Buildertrend, Bluebeam, JobSite Codes). 
• Experience working in a construction, design or project coordination role preferred. 

• Associate’s degree or higher preferred. 
• Background in construction management or design, a plus.
