In this fast-paced position, you'll be at the heart of our Innovation Center, coordinating everything from executive scheduling and document management to event logistics and stakeholder communications. You'll work with diverse groups, including educators, students, business leaders, and community partners, making a direct impact on programs that shape the future of education.

JOB DESCRIPTION

  • Provide high-level administrative support to the Director, including scheduling, correspondence, document preparation, and meeting coordination.
  • Manage calendars, appointments, and events, ensuring smooth communication and optimal use of the Director’s time.
  • Create, format, and manage documents, spreadsheets, presentations, and reports using MS Office applications (Word, Excel, PowerPoint, Outlook, Teams, etc.) and Google Applications (Sheets, Docs, Presentation).
  • Serve as a liaison between the Innovation Center, schools, district departments, community partners, and business organizations.
  • Coordinate logistics for workshops, meetings, training sessions, and special events.
  • Maintain project management tools and assist with tracking progress on innovation initiatives.
  • Demonstrate creativity in solving problems, improving workflows, and developing communications.
  • Handle confidential information with discretion and professionalism.
  • Support marketing and outreach efforts, including creating flyers, newsletters, and digital communications.
  • Perform other duties as assigned to ensure the success of the Innovation Center’s programs and partnerships.


Work Environment:

  • Fast-paced and dynamic.
  • Combination of office work, in-person meetings, and occasional off-site events.
  • Some flexibility in hours may be needed depending on event schedules.


Responsibilities

ESSENTIAL FUNCTIONS

  • · Maintains and monitors accuracy of computer and other records.
  • · Use computer software to generate reports, documents and other materials.
  • · Use computer to research and find needed information.
  • · Strong computer software skills (excel, access, data bases, data merge, etc.).
  • · Skyward experience preferred.
  • · Fills out forms.
  • · Responsible for providing excellent customer service to district staff, schools, and the Canyons School District patrons.
  • · Acts as an information resource for the Department.
  • · Uses computer software to generate spreadsheets, reports, document and other materials.
  • · Uses computer to research and find needed information.
  • · Schedule meetings, conferences, trainings and other departmental events.
  • · Maintains confidential files. 
  • · Processes payroll for employees paid out of budgets managed by department.
  • · Communicate information and ideas clearly, and concisely, in writing: read and understand information presented in writing.
  • · Deal with people in a professional manner which shows sensitivity, tact, and professionalism.
  • · Directs telephone calls and public.
  • · Replies in a timely manner to phone, written and in-person requests for information.
  • · May use electronic equipment to communicate with department employees.
  • · Back up secretarial and staff as assigned.
  • · Ability to prioritize projects.
  • · Meet deadlines while handling frequent interruptions.
  • · Maintains confidential information both written and oral.
  • · Participate in training sessions when assigned.
  • · Other duties as assigned.
  • · Predictable and reliable attendance.

  • Associate’s degree required; Bachelor’s degree preferred.

  • Proficiency with MS Office (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, etc.) and Google Applications (Sheets, Docs, Presentation).
  • Able to learn and utilize various software systems (Skyward, Dashboard, etc.)
  • Exceptional organizational skills and attention to detail.
  • Ability to self-direct, prioritize tasks, and meet deadlines with minimal supervision.
  • Strong interpersonal and communication skills; able to work effectively with a wide range of stakeholders.
  • Creative thinker with a problem-solving mindset.
  • Experience working with diverse groups, including educators, students, business leaders, and community organizations.
  • Positive, adaptable attitude and commitment to the mission of innovation in education.
  • During times of state or district emergency, all employees may be required to perform additional duties that are not required on a normal basis in support of educational and operational priorities. e.g. Performs general cleaning and sanitizing of work areas, provides remote assistance to students and staff, and any other reasonable duty as needed.

 NOTE: The Administration reserves the right to require specific training for this position. However, depending upon the type and quality of prior work experience and availability of formal training programs, some exchanges can be made between training and experience.
