Administrative Assistant for Accounting Firm (Payroll, Bookkeeping, Tax Support)

Responsibilities

About the Role

We are seeking a detail-oriented, highly organized Administrative Assistant to join our growing team. This role is ideal for someone with a strong background in payroll, QuickBooks, and bookkeeping, who thrives in a fast-paced environment supporting both tax and accounting functions. You'll play a vital role in keeping our internal operations running smoothly and ensuring clients receive top-tier support.


Key Responsibilities

  • Process and manage payroll for clients accurately and on time
  • Perform daily bookkeeping tasks in QuickBooks Online/Desktop
  • Prepare and file 1099s and other year-end reports
  • Assist with sales tax filings across multiple states
  • Maintain organized records and documentation for accounting and compliance
  • Support the tax and bookkeeping team with administrative tasks
  • Communicate with clients to gather necessary financial documents
  • Track project deadlines and help ensure timely completion of deliverables
  • General office support and task coordination as needed

Qualifications

Qualifications

  • 2+ years of experience in administrative support, bookkeeping, or payroll
  • Proficiency in QuickBooks Online and/or QuickBooks Desktop
  • Familiarity with preparing and filing 1099s
  • Knowledge of sales tax filing requirements (multi-state a plus)
  • Strong organizational and time management skills
  • Comfortable handling sensitive information with confidentiality
  • Strong written and verbal communication skills
  • Team-oriented with the ability to work independently when needed
  • Bonus: Experience in a tax or accounting firm environment
