Job Description

Job Summary:

We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to join our team. You’ll handle everything from tracking bills and helping with construction draw paperwork to keeping our office organized and pitching in with some light sales tasks when needed. We're looking for someone who’s worked in QuickBooks before and isn’t afraid to jump into a fast-moving environment.

Key Responsibilities:

Bookkeeping & Financial Duties:

  • Keep track of bills and payments across several projects and accounts.
  • Use QuickBooks to keep our finances organized and up to date.
  • Help pull together construction draw packages and paperwork.
  • Monitor budgets and ensure timely payment of vendor invoices.
  • Generate financial reports and assist with month-end and year-end closing tasks.

Office Management:

· Keep the office (and digital files) organized and running efficiently.

· Handle basic admin tasks like ordering supplies, scheduling, and general upkeep.

· Help streamline processes and keep communication flowing between teams and vendors.

Sales Support:

  • Help with simple follow-ups, preparing proposals, or organizing leads.
  • Keep CRM or contact lists updated and assist with sales meeting scheduling.
  • Coordinate scheduling for meetings and client presentations.

What We’re Looking For

  • A few years of experience in bookkeeping or office management (or both).
  • Solid QuickBooks knowledge — you’ve used it before and are comfortable with it.
  • Strong understanding of accounting principles and financial statements.
  • Super organized and good at juggling different tasks.
  • Great communication skills — written, verbal, and email-savvy.
  • Comfortable with Microsoft Office and Google Drive
  • Trustworthy, reliable, and able to work independently.

Bonus Points If You Have:

  • Experience in construction, real estate, or working across multiple entities.
  • A knack for organizing things or improving systems.
