Job Description

We are currently seeking a friendly and organized individual to join our team as a Lead Veterinary Receptionist. The ideal candidate will have 3-6 years of customer service experience in a reception, office or phone center environment. Additionally, the ideal candidate would be comfortable managing a team of receptionists, the daily schedules of our veterinarians and must possess excellent communication and organizational skills. As a Veterinary Receptionist and a Lead, you will be responsible for managing client appointments, greeting visitors, answering phone calls, and assisting with administrative tasks. This position requires a person who is reliable and who can multitask efficiently in a fast-paced environment while maintaining a positive attitude.

Responsibilities

  • Supervise and mentor reception staff, fostering a culture of compassion and efficiency.
  • Train new reception team members on protocols, software, and client service standards.

  • Maintain accurate records of patient information and medical histories.
  • Assist with billing and processing payments.
  • Manage inventory of office supplies and pet products.
  • Collaborate with veterinarians and veterinary technicians to ensure seamless patient care.

Qualifications

  • Education: High School Diploma/GED. Associate or bachelor’s degree preferred.
  • Minimum 2–3 years of experience in a veterinary clinic, medical office, customer service role, or administrative role.
  • Prior supervisory or team leadership experience is highly desirable.
  • Familiarity with veterinary practice management software (e.g., AVImark, Cornerstone, eVetPractice) is highly desirable.
  • Proficient in Microsoft Office Suite, Google Office equivalent and general office equipment.
  • Exceptional multitasking and time-management skills.
  • Proven ability to lead and motivate a team in a fast-paced environment.
  • Detail-oriented with a commitment to accuracy and efficiency.
  • Comfortable handling multi-line phone systems and scheduling platforms.
  • Typing speed of at least 30 words per minute.
  • Knowledge of basic veterinary terminology and procedures is a plus.
  • Excellent communication and interpersonal skills.
  • Ability to remain calm under pressure and handle difficult situations with professionalism.
  • Practices a “lead by example” work ethic.
  • Reliable, punctual, and able to work flexible hours including weekends if needed is highly desirable.
  • Maintains a professional appearance and demeanor.
  • Demonstrates discretion and confidentiality with client and patient information.
