Job Description

Western Management Associates is a small, dynamic real estate property management company dedicated to providing exceptional property management services to clients. We specialize in residential HOAs and commercial properties and are committed to maintaining high standards of professionalism and customer satisfaction.

We are seeking a reliable, organized and perceptive Receptionist/Office Coordinator to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients, tenants, and visitors.

Responsibilities

  • Greet clients, tenants, and visitors with a warm and professional demeanor.
  • Answer and direct incoming phone calls to the appropriate team members.
  • Coordinate with property managers to ensure smooth communication and operations.
  • Manage office supplies and place orders when necessary.
  • Assist with basic administrative tasks, such as data entry and filing.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Provide basic information about our company's services and properties.
  • Support the team with ad-hoc tasks and projects as needed.

Qualifications

  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Customer-focused attitude and strong interpersonal skills.
  • Prior experience in a receptionist or administrative role is preferred.
  • Excellent communication skills, both verbal and written.
  • Professional demeanor.
  • Proficiency in using office software, including MS Office (Word, Excel, Outlook).
  • Familiarity with basic office equipment (e.g., multi-line phone systems, printers).

Additional Information

This is a part-time position. Monday through Friday from 9:00am to 1:00pm.
