Job Description

The Office Manager is driving force for most administrative office duties keeping the office organized and running smoothly. People skills will be a large part of this role as you will work directly with all employees and many partners and clients. People within the company, as well as guests and clients, will turn to you for your wealth of knowledge about the company and office. If you cannot answer the question, you will know who can.

Responsibilities

The Office Manager will be responsible for the following tasks, duties, and assignments. These responsibilities will evolve with your expertise and strengths:

  • Create new customer folders
  • Oversee office supplies, drinks, and snacks inventory
  • Maintain vendor workers compensation, general liability, W9s, and trade professional agreements
  • Coordinate insurances (builders risk, vehicle, health/dental, […])
  • Receive and sort mail
  • Maintain vehicle information
  • Oder new trucks and coordinate decal install
  • Order and distribute 1st aid kits and fire extinguishers for company trucks
  • Download credit card receipts and file
  • Manage statements
  • Download timecard hours for the week and file in folders
  • Receive and sort invoices and lien waivers
  • Runner (pick up plans, lunch, etc.)
  • Coordinate travel arrangements
  • Maintain pay schedule and send to trades quarterly, and maintain inhouse draw schedule
  • Prepare the homeowner manual book when a project is complete
  • Manage and maintain Site Assistant and conference room schedule

Qualifications

The Office Manager must have the following abilities and knowledge:

  • Efficiency in the management of time and knowing how to rate priorities
  • Exceptional people skills, to communicate clearly with the people around you while also being personable
  • Competence in computer skills, specifically QuickBooks and the Microsoft Office Suite
  • Remarkable personality full of optimism, a desire to assist within the company where needed, and an eagerness to continually better yourself to benefit the company as a whole

Additional Information

This is a full-time, in office position located at the Jackson LeRoy office in Holladay, Utah. Compensation is based on experience.
