Job Description

This is your chance to work with a great management team in a nice office at Traverse Mountain Master Association (TMMA). TMMA is the primary HOA for Traverse Mountain in Lehi, UT. We are now interviewing qualified applicants for our Compliance & ARC (Aesthetic Review Committee) Assistant position.

Responsibilities

Architectural & Landscape Compliance Responsibilities:

  • Ensure that newly built custom homes have been reviewed by our Architectural Firm
  • Track all properties landscaping and fencing progress and enforce compliance until completion
  • Track unapproved landscaping installation and enforce compliance
  • Drive Compliance Manager for compliance inspections multiple times a week. We manage around 3,000 homes.
  • Assist with escrow and title sheets for home sales

Rental Compliance Responsibilities:

  • Ensure the community remains within the Master Association’s rental cap.
  • Maintain accurate records of approved rental properties.
  • Regularly review websites (e.g., Facebook, Airbnb, KSL, Zillow, VRBO) to identify unapproved rental listings.
  • Send violation letters to homeowners who are in violation of rental rules.
  • Process fines for violations according to the association's policy.
  • Provide guidance to homeowners and realtors regarding rental rules and regulations.
  • Answer inquiries related to rental compliance.
  • Monitor and implement any changes in rental laws, both state and local (Lehi City), that may impact on rental compliance.
  • Conduct regular audits of rental properties to ensure compliance with association rules.

Aesthetic Review Assistant Responsibilities:

  • Attend weekly Aesthetic Review Committee meetings to assist with landscaping and fencing submittals.
  • Collect and conduct an initial review of landscaping and architectural plans submitted by homeowners.
  • Help serve as a point of contact for homeowners regarding pending applications or submittals.
  • Notify homeowners if additional information or revisions are required for approval.
  • Help follow up with homeowners to ensure timely submissions and responses.
  • Assist the Aesthetic Review Chair with conducting audits of approved plans construction or landscaping work within the community to ensure compliance.
  • Track and report on any issues or violations for review with the committee.
  • Maintain thorough records of all submittals, approvals, and communications.
  • Onsite inspections with homeowners and builders.

And anything else the Compliance Manager, ARC Chair, and General Manager may need assistance with.

Qualifications

  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong organizational skills.
  • Experience with Microsoft Office or similar productivity tools (Excel, Word, etc.).
  • Ability to work independently and as part of a team.
  • The ability to adapt to changes in laws, association rules, or processes.
  • Ability to manage deadlines, track multiple compliance issues, and organize meetings or inspections.
  • An ability to interact professionally and courteously
  • Ability to stay calm and de-escalate confrontation
  • Good driver
