Job Description

WEM Operating, LLC is a leading oil and gas exploration and operating company with a commitment to trust, safety, efficiency, and respect. We are now seeking a detail-oriented and proactive Lease Records Administrator to join our Land Department. The Lease Records Administrator will play a critical role in managing, analyzing, and maintaining lease and land-related documentation to support our exploration and production operations. This position requires an understanding of oil and gas lease agreements, strong organizational and mentoring skills, and the ability to collaborate with internal teams and external stakeholders.

Responsibilities

Manage and maintain digital and physical company records ensuring data integrity and accessibility, including the following activities -

  • Onboard acquisitions into digital and physical record system and track obligations, including expiration dates, rental payments, royalty provisions, and other critical deadlines, to prevent lapses or penalties.
  • Review, interpret, and analyze documents to ensure accuracy and compliance with company policies and regulatory requirements. Process transfers and analyze various legal ownership documents such as title opinions, assignments, deeds, estate documents and lease agreements to determine interests and burdens.
  • Maintain interest decks to ensure timely and correct billings and revenues.

Assist in preparing reports and summaries of ownership status, obligations, and acreage for management, legal teams, or regulatory filings.

Assist with acquisitions, divestiture, due diligence, internal/external audits, data conversions, unclaimed property and other special projects.

Conduct title research and resolve discrepancies in lease ownership or encumbrances, coordinating with title attorneys or landmen as needed.

Communicate with landowners, government agencies, and internal departments to resolve inquiries or issues.

Assist in mentoring and training others assisting in lease records management and act as liaison with other departments.

Other duties as may be assigned.

Qualifications

Bachelor’s degree (or equivalent experience).

2+ years of experience in lease records, land administration, or a similar role within the oil and gas industry preferred.

Proficiency in land management software, preferably PakLand (e.g., Quorum, LandWorks, or similar systems) and Microsoft Office Suite (Excel, Word, Outlook).

Familiarity with oil and gas lease agreements, mineral rights, and land title documentation.

Strong analytical skills with a keen eye for detail and accuracy.

Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.

Excellent written and verbal communication skills for working with diverse stakeholders.

Must be able to work in a standard office setting and use standard office equipment, including computers, copier, physical documents and telephone; maintain attention to detail despite interruptions. This position requires being present in the office and is not eligible for telecommuting.

Additional Preferred Skills:

  • A degree in Business, Energy Management, Legal Studies, or a related field.
  • Knowledge of Utah, federal, and/or BIA oil and gas regulations.
  • Experience with title curative processes or chain of title research.
  • Certification as a Division Order Analyst (CDOA), Lease and Title Analyst (CPLTA) or Registered Professional Landman (RPL) is an advantage but not required.
