Position Overview

We are seeking an attentive, proactive, and detail-oriented Administrative & Project Coordinator to support our Sales Team and assist with contract and project coordination. This dynamic role is ideal for a highly organized professional who thrives on keeping workflows running smoothly and enjoys being a key point of contact for internal teams and clients alike.

Responsibilities

  • Provide administrative support to the sales team throughout the project lifecycle—from quoting to invoicing
  • Coordinate with contractors, vendors, and clients to ensure seamless execution of projects
  • Review, enter, and track project orders and documentation
  • Organize and manage contracts, insurance requests, change orders, and pay requests
  • Facilitate internal scheduling and communication between sales, production, and installation teams
  • Maintain regular client communication and provide updates on project status
  • Assist with invoicing, records management, and general office tasks
  • Serve as a backup for answering phones and supporting office-wide needs

Contribute to company-wide initiatives and assist with odds & ends as required

Qualifications

  • 1+ years of experience in administrative support, project coordination, or contract administration
  • College degree preferred or equivalent work/life experience
  • Strong attention to detail and organizational skills
  • Effective time management and the ability to handle multiple priorities
  • Professional verbal and written communication skills
  • Proficiency in MS Office, Google Suite, Excel, QuickBooks (training on company-specific software provided)
  • A team player with a positive attitude and customer-focused mindset
