Job Description

The Legal Support Staff/Assistant will serve as the first point of contact for clients and visitors while also providing essential administrative support to attorneys and staff. The ideal candidate will be friendly, detail-oriented, and capable of handling both front desk duties and legal administrative tasks. This role requires a professional demeanor, strong multitasking abilities, and familiarity with legal terminology and processes.

Responsibilities

Key Responsibilities:

  • Receptionist Work:
  • Greet clients, visitors, and vendors in a professional, friendly manner.
  • Answer, screen, and route incoming phone calls; take accurate messages.
  • Manage the firm’s front desk area to ensure it remains tidy and welcoming.
  • Schedule appointments, meetings, and coordinate conference room usage.
  • Maintain client confidentiality and provide excellent customer service at all times.
  • Handle incoming and outgoing mail, including packages and deliveries.
  • Assist with basic administrative tasks, such as filing, photocopying, and scanning.
  • Legal Support Staff (Under Direction of Paralegals):
  • Assist attorneys with document preparation, and case file management.
  • Draft and proofread routine legal documents, letters, and correspondence.
  • Manage and organize client files, ensuring documents are properly filed, stored, and indexed.
  • Assist with preparing court filings, including gathering necessary documents, creating binders, and ensuring timely submission.
  • Prepare and maintain discovery documents, forms, and exhibits as needed.
  • Coordinate document production and track deadlines for litigation matters.
  • Assist in the preparation of legal briefs, motions, and other court filings.
  • Communicate with clients, opposing counsel, and court personnel as directed by attorneys.
  • E-file court filings using Greenfiling.
  • Scheduling & Calendar Management (Under Direction of Paralegals):
  • Schedule client meetings, attorney consultations, and court dates.
  • Manage attorney calendars and ensure appointments and deadlines are met.
  • Send reminders and confirmations for meetings and appointments.
  • Client Communication & Liaison (Under Direction of Paralegals):
  • Provide clients with updates on case progress as directed by attorneys.
  • Ensure all client inquiries are handled professionally and promptly.
  • Coordinate and track client documentation and information necessary for case progression.
  • General Office Support:
  • Maintain office supplies and order replenishments as needed.
  • Assist in organizing firm events, meetings, and team activities.
  • Perform additional administrative tasks as needed to support the firm’s operations.

Qualifications

Qualifications:

  • Education: High school diploma or equivalent required; associate’s degree or paralegal certification is a plus and preferred.
  • Experience: Minimum of 1-2 years of experience as a receptionist, legal support staff/legal assistant, or in a customer-facing role within a law firm or legal environment preferred.
  • Skills:
  • Strong communication and interpersonal skills, with a friendly and professional demeanor.
  • Excellent organizational skills with the ability to manage multiple tasks and priorities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software (Clio, LexisNexis, or similar platforms a plus).
  • Familiarity with legal terminology, e-filing procedures, and court systems is required.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to work well independently and as part of a team.
