Responsible for supporting Director of Finance in daily, weekly and monthly accounting and administrative activities, including QuickBooks entries, analytical report creation, and client management. In this highly responsible and confidential position ensure Cash Flow Mastered accounting standards are met and will interface a significant amount of time with clients and the accounting team. Attention to detail for accurate and timely processing of all accounting procedures. This is a high-energy position that requires a self-starter who is task oriented with the ability to adjust and learn quickly, as well as handle multiple tasks.
Daily bookkeeping; A/R A/P, General Ledger and related reporting for clients.
Handle communications with venders, clients, and other departments
Working with Director of Finance to coordinate monitor and process all accounts payables;
Attend weekly team meetings to review, approve and ensure client files are appropriately handled.
Handle all related expense reports, verify, obtain COO approval and prepare for payment.
Working with the Director of Finance to resolve any other account issues when necessary.
Manage invoice due dates and schedules
Development and maintain Excel spreadsheets and streamlining accounting processes.
Work with the accounting team to prepare monthly financials and review with Director of Finance
Coordinate with other departments and assist with administrative and clerical duties and perform basic office tasks.
General Office Duties to Include:
Greet and provide general support to visitors and direct them, accordingly, treat them with respect and care.
Answer all incoming calls, direct them to the appropriate staff, maintain and respond to emails.
Other office duties required are copying, scanning and filing, possibly some light cleaning, running errands if needed and working with the other office staff to ensure completion of all office tasks.
Attend regular 1:1 meeting with Supervisor.
Attend team meeting as scheduled
All other tasks as assigned by Supervisor or Leadership
2-3 years’ experience in accounting &/or admin assistant role.
2-3 years’ QuickBooks experience. Certification is a plus.
Basic understanding of accounting, AP, AR
Team player with can do attitude.
Professional dress and presentation
Valid Driver License and dependable transportation
Bi-lingual (Spanish) is a plus but not required
