Receptionist/Intake Coordinator with MA Duties

Job Description

This role is responsible for front desk reception, client intake coordination, and medical administrative tasks to support our providers. The ideal candidate is organized, detail-oriented, and comfortable handling administrative and medical-related responsibilities while ensuring a welcoming experience for clients.

Responsibilities

Receptionist Duties:

  • Answer phone calls, assist clients, and direct inquiries as needed
  • Greet clients as they enter the office, and notify the providers via Google Chat of their client's arrival
  • Manage scheduling through our CRM system, ensuring appointments are set and confirmed
  • Collect co-pays and outstanding balances at the time of service
  • Set up and manage payment plans as necessary
  • Collect and verify insurance cards and credit cards for client accounts
  • Ensure all intake paperwork is complete before appointments
  • Maintain a clean and organized reception area
  • Handle confidential client information in compliance with HIPAA regulations
  • Open and sort mail accordingly

Intake Coordination Duties:

  • Process new client inquiries via phone, sms, email, and online platforms
  • Match clients with appropriate providers and coordinate initial assessments
  • Confirm appointments and follow up on cancellations or rescheduling needs
  • Ensure all required documentation is completed prior to appointments

Medical Administrative (MA) Duties:

  • Process and follow up on prior authorizations for medications
  • Monitor fax system, medication team messages, and email.
  • Schedule follow-up appointments for psychiatric medication management and the occasional therapy sessions
  • Assist with medication refill requests and communicate with pharmacies as needed
  • Maintain interpersonal relationships with med management providers with consistent communication
  • Triage patient questions/concerns, and collaborate with med management providers to address those concerns
  • Maintain compliance with clinic policies and medical protocols


Qualifications

  • Previous experience in a medical, behavioral health, or administrative setting preferred
  • Knowledge of medical terminology and insurance verification is a plus
  • Proficiency with EHR systems and scheduling software (experience with Go High Level and Simple Practice is a plus)
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Ability to multitask and work efficiently in a team-oriented environment
  • MA certification or relevant medical assisting experience preferred but not required
