Job Summary/Basic Function:
Position Summary The Administrative Specialist supports the Weber State Honors Program through a blend of administrative, marketing, financial, and student-focused responsibilities. This dynamic role keeps the Honors Center running smoothly, leads marketing and communication efforts, manages purchases and budget tracking, and supports students, faculty, and events. The position reports to the Honors Program Director and works closely with a collaborative team. While the Administrative Specialist’s primary responsibilities are within the Honors Program, the position will also support shared administrative needs across the broader division. Any such duties will be aligned with the employee’s skills and availability, and coordinated in consultation with the Honors Director and Honors Coordinator, respectively. Marketing & Communications (25%) Leads the program’s marketing and outreach, including managing social media, designing and distributing promotional materials, maintaining the website, and capturing event photos. Coordinates swag orders and ensures strong, consistent branding across platforms. May contribute to shared communication efforts within the division when needed. Budgets & Purchasing (20%) Handles most Honors purchasing, P-card reconciliation, and budget tracking. Prepares monthly reports, collaborates on the annual budget, and manages donor reporting and ordering for office, events, and courses. Office & Program Operations (20%) Manages the day-to-day operations of the Honors Center, keeping the space welcoming, well-stocked, and appropriately staffed. Provides broad programmatic support including tasks related to graduation, data tracking, assessment, and other administrative needs of the Honors team. May also assist with limited administrative tasks for other units within the division, as needed and as coordinated with the Honors Director. Student Support (15%) Supports students through scholarships, awards, and Honors questions. Helps coordinate application tracking, awardee selection, communication, and maintaining accurate student records. Course Support & Scheduling (10%) Assists with course planning and logistics, managing forms, updating systems, preparing course materials, and supporting faculty needs from scheduling to pay setup. Event Coordination (10%) Supports the planning and execution of Honors events such as Welcome Week, socials, and symposiums. Assists with setup, logistics, and representing Honors at recruitment and campus-wide events. May occasionally support or coordinate shared events working closely with other administrative staff in the division.

• High School diploma or equivalent.
• Three years of related, full-time experience that includes administrative level office management experience.
• Experience with Microsoft Office software is required; expertise with Google software (Gmail, Google Calendar, Google Sheets/Docs/Slides/Forms) is also required.

• Associate’s degree
• Budget and basic accounting experience;
• Familiarity with computer information system software (i.e. Banner, Argos);
• Proofreading skills;
• Student-centered and public service skills;
• Proactive, strong sense of initiative;
