Job Description

Graduate Student Coord II


Job Summary


With moderate institutional and departmental knowledge, this position works within the Department of Mechanical Engineering graduate programs to coordinate a diverse population of students regarding their academic planning and progress.


This position will assist the University in promoting a climate of respect that cultivates and sustains transformative practices by forging a community where people feel welcome and valued; respects all students in their quest for individual success through graduate degree programs.


Responsibilities


• 1. Performs administrative tasks to support graduate students. Activities include, but not limited to, recordkeeping, program of study coordination, scheduling, course-planning, graduation tracking.

2. Actively participates in campus-based professional development communities, including but not limited to GAPA or other relevant campus-based organizations that directly impact their position. Duties include subcommittee participation.

3. Collects and disseminates information to students, faculty and departments about changes in degree requirements or University policies and adjusts advising strategies as appropriate.

4. May participate in search committees for new hires in department, including both staff and faculty roles.

5. Participates in programming communities for students within their area. Including, but not limited to activities such as overseeing a mentoring program, student organization, etc.

6. Advises on graduate committee development. May assign course-work for specific program of study.

7. Provides curriculum feedback at the program level. May submit department curriculum changes to university-wide curriculum tracking.

8. Power user for university-wide application review platforms. Coordinate and organize admission portfolios for graduate committees.

9. Participates in recruitment activities for potential graduate student candidates. Processes graduate school applications and coordinates interview and department visit processes.

10. Acts in partnership with faculty to coordinate scheduling exams and defenses. Assists students with developing a working relationship with faculty in the assigned program.

11. Participates in events management related to graduate programs, graduate student orientation, graduate conferences, and professional development, and team-building events.

12. With increased institutional knowledge, acts as a resource for graduate student roles and is a liaison between the department and the Graduate School on campus.

13. Assists with assigning graduate teaching assistants to support the department's class lectures and labs.

14. Coordinates training and certification of international students to be qualified to perform the duties of a teaching assistant in an American classroom.

Minimum Qualifications


Bachelor's degree or equivalency (one year of education can be substituted for two years of related work experience).


2 years' of related experience.

Demonstrated human relations and effective communication skills

Preferences


• Advanced proficiency in MS Excel

• Proficient in MS Word and PowerPoint

• Familiarity with MS Access, WordPress, Salesforce, and PeopleSoft

• Previous experience with graduate programs preferred, either as a student or advisor

• Excellent time management skills and ability to prioritize competing task assignments
