Job Description

The primary role of the Project Manager (PM) is to manage projects to insure that work is done according to specifications and standards. Such standards and specifications include 1) safety, 2) schedule, 3) cost and 4) quality. The PM may be responsible for one or several projects at one time.

PMs are also responsible for managing the client relationship and for developing new business for the firm, assisting and coordinating with the Accounting function and assisting the President as required.

PMs are also responsible for insuring that their site staff is informed in the work they are performing, and for encouraging an atmosphere of teamwork on the site and in the office.

Responsibilities

Responsible for the efficient management of his/her projects.

Responsible to verify that company safety policy and programs are being followed on all his/her projects.

Insures that costs for construction projects are within budget for the project.

Insures that projects are completed according to agreed upon project schedules.

Works with Superintendent and other subcontractors as applicable to insure that the project is properly completed to quality standards.

Responsible to deliver pay requests to owners and explain and discuss and project progress issues with the customer.

Defines the scope of work on contracts and reviews with the Superintendent, subcontractors and site personnel, including full and complete material and labor hour information and schedules at pre-construction meetings and as needed later in the project.

Meets with the Superintendent to define the milestone completions needed per week budgeted and the expected accomplishments for each week or phase of the project so that each is fully informed regarding what is expected of him/her.

At the beginning of each project the PM provides to the Superintendent:

Information regarding any foreseen or possible problems.

Written understanding of the ‘split’ between trades.

A full set of most recent drawings, as available.

Copies of all contracts for all subcontractors involved,

Open, free and full communications.

Verification for all bills for approvals.

A schedule of events for the project/job.

All other information necessary for efficient completion.

The PM is responsible to keep accurate written notes of events and decisions, minutes of all meetings and phone conversations, photos, project correspondence, and other project information in a Project Record Book.

The PM is responsible to insure that project Change Orders are issued and approved prior to change order work being done. Change Orders must reflect changes in scope, costs and project schedules.

The PM is responsible to review all billings from all subcontractors for work performed according to their contracts/purchase orders to insure billing accuracy and acceptability based upon work actually completed and amounts remaining in their respective contracts. The PM is responsible to stamp the bill and properly code it for entry into the company accounting system. The PM also identifies the amount to be paid from the bill and the amount to be retained, and then initials the billing as ready for accounting entry. See Project Coding Procedures for details.

The PM is responsible at least monthly to review reports from accounting regarding each projects financial status, to meet with the company President to review the status and progress of each project managed, and to decide how much of each project contract amount may be invoiced to the customer.

The PM is responsible to use company provided systems such as UDA for all correspondence and email and shall keep accurate and complete customer contact records in same.

Near the conclusion of a project the PM is responsible to review the progress of the work and the remaining budget with the Superintendent and to decide upon a plan to closeout the project as efficiently and cost effectively as possible. The PM shall then notify the Architect to request an inspection for Substantial Completion.

After a project is complete the PM is responsible to gather all project records, binders, plans and documents for storage. See Completed Project Storage Procedures for details.

The PM is responsible to use his/her relationship with the customer to obtain new work for the company. The PM shall request a Letter of Recommendation from the customer to be used for future marketing.

Qualifications

Education

Required – Secondary school with courses in various phases of construction trade techniques and Project Management.

Preferred – Associates degree with emphasis on construction technology or architectural technology, with courses in Project Management.

Licensing/Registration/Certification

Required – none.

Preferred – Certification in one or more trades.

Safety – OSHA 10 Hour certification

LEED – Certification preferred


Experience

Required - 2-3 years as a Project Engineer. 1-2 years as an Asst Project Manager.

Preferred – Five years prior Project Management experience on various size projects, with experience in related trades.


Skills, knowledge, abilities

The PM must thoroughly understand construction methodology and sequence of “How to get it built”, and must be fully conversant with related construction techniques and skills, to insure that projects are completed safely, on time and within budget constraints.

The PM must be able to handle several smaller projects at one time, understanding the construction issues, time and financial constraints of each.

The PM must be able to work easily with owners and engineers.

The PM must be able to work with internal staff and outside personnel or sub-contractors, ensuring that they are each aware of the job requirements.

The PM must be able to coordinate jobs and internal staff on several projects of varying size and complexity.

The PM must be sufficiently proficient with computer software to utilize company project management systems, cost coding systems, manpower loading, scheduling, word processing and/or spreadsheet programs.

The PM must be able to easily communicate with in-house staff and field personnel so that work proceeds easily and is well coordinated.


Physical

He/she must be able to work on a construction site, including climbing ladders to observe portions of projects, as well as work in an office environment.


Mental

Mathematical – must understand the various mathematical relationships in construction project management, scheduling through the use of Gantt (or timeline) charts, as well as general arithmetic calculations.

Language – bilingual is desired but not required, and ability to converse with clients, crewmen and others, in either language (Spanish and English). English is the predominate language of our clients.

Related – understands architectural and construction drawings, with the ability to explain them to internal personnel, sub-contractors and others.

Spatial – able to conceptualize the two-dimensional drawings as a three-dimensional object, and transmit that vision to others.
