Job Summary/Basic Function:


The department administrative specialist is responsible for using excellent customer service skills to coordinate, implement, organize, and balance daily operations and office functions of the departmental office related to and/or for faculty, students, student workers, and some professional staff co-workers with little or no instruction. Responding to requests in a timely manner with appropriate priority and with professional communication, as well as, balancing deadlines and organizing daily workload is essential. The administrative specialist reports to and is supervised by the department chair. General duties, not listed by importance or priority, include: document preparation, processing, and organization (such as electronic maintenance and filing); use of modern technology and office equipment in higher education; mail, copy room work, and supply ordering; setting up, coordinating, and transcribing minutes at department meetings; inputting semester class schedules; assisting with department hires; administering course evaluations; receiving and organizing course syllabi; facilitating textbook orders; assisting with travel; monitoring budgets; processing budget transfers; reconciling purchasing cards; tracking and maintaining data; organizing receptions; assisting students with program admissions, scholarship, and award applications; assisting with commencement/convocation; and attending training as needed. The department chair may assign other job responsibilities not listed. 


Required Qualifications:


Required: 


• High School Diploma or equivalent.

• Two years full-time, related experience.


Preferred Qualifications:


Preferred: 


• Bachelor’s degree in a relevant field (education, health promotion, recreation, exercise and sport science).

• Demonstrated experience with budget management, monitoring, and record keeping.

• Superior proficiency with computer applications including word processing, email, internet and spreadsheets.

• Strong verbal communication, written communication, listening, record keeping and information management skills.

• Ability to retain knowledge concerning university and department policies, think critically, and make appropriate judgment calls pertaining to the application and communication of university and department policies.

• Experience with, or willingness to learn, WSU based systems such as Banner, Argos, PawPlace, Lynx, and Travel Reimbursement, and others.

• Customer-service orientation, due to the importance of positive first impressions and positive subsequent contacts with internal and external constituents.

• Ability and willingness to work with colleagues and supervisor to promote the mission of the Programs, Department, College, and University that are represented.
