Job Summary/Basic Function:


The Administrative Specialist III provides administrative and logistical support to the Executive Director of Academic Support Centers and Programs (ASCP ). This position also supports department leadership for several areas within the Undergraduate Studies, Academic Support & Institutional Effectiveness Programs. This position is responsible for financial tracking, scheduling, event coordination, website maintenance, and general office management. The Administrative Specialist III reports to the Executive Director of ASCP . 

Key responsibilities include: 


• Budget Management – Tracks, monitors, and reconciles ASCP and FYP budgets, including expenditures, reimbursements, and purchase requisitions.

• Website Maintenance – Updates and maintains ASCP and FYP websites using SiteManager.

• Scheduling – Coordinates classroom reservations, meetings, and appointments.

• Event Coordination – Organizes logistics for projects and events, including venue booking, catering, materials, and marketing.

• Meeting Support – Creates agendas and records minutes for departmental and staff meetings.

• Travel Arrangements – Schedules and books flights, lodging, transportation, and processes travel reimbursements for directors.

• Office Management – Manages general office correspondence, records, and filing systems.

• Student Support – Assists with Starfish referrals and provides administrative support to student programs.

• Procurement & Supplies – Maintains office supply inventory and processes purchase requisitions.

• Professional Communication – Serves as the primary point of contact for ASCP and FYP , responding to inquiries from faculty, staff, students, vendors, and external stakeholders.


This position requires maintaining professional working relationships with Academic Support Centers and Programs and First Year Programs departments, faculty, staff, students, and community members. 


Required Qualifications:


Required: 


• High school diploma or equivalent

• Three years of full-time related experience that includes administrative support.

• Experience with PC applications including presentations, word processing, spreadsheets, and email.


Preferred Qualifications:


Preferred: 


• Strong organizational, communication, and interpersonal skills.

• Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel), Adobe products, and Google Suite.

• Experience with higher education software tools such as Argos and Starfish.
